How to Choose a Sales Engagement Tool

A guide to selecting the right sales engagement platform for outbound prospecting and pipeline management. Covers email sequencing, multi-channel outreach, deliverability, and how to build repeatable sales processes.

Key Decision Criteria

Multi-Channel Sequencing

High Priority

The best outbound results come from combining email, LinkedIn, and phone touches. Lemlist and Apollo support multi-channel sequences natively. Instantly focuses on email-only but does it exceptionally well. Outreach offers the most sophisticated multi-channel orchestration but at enterprise pricing ($100+/user/month).

Deliverability Infrastructure

High Priority

Email deliverability is the hidden bottleneck in outbound sales. Instantly includes email warmup, domain rotation across multiple sending accounts, and inbox placement monitoring. Lemlist offers a warmup tool called lemwarm. Apollo's deliverability tools are less mature β€” heavy senders often pair Apollo data with a separate sending tool.

Built-In Prospect Data

Medium Priority

Apollo includes a prospecting database with 275M+ contacts and company data. Lemlist, Instantly, and Outreach are sending tools β€” they don't include contact databases. If you don't already have prospect lists, Apollo's all-in-one approach saves you from buying a separate data provider.

Questions to Ask Yourself

1

Do you already have a reliable source of prospect contact data?

No: Apollo is the strongest starting point β€” it combines a massive contact database with sequencing in one tool. Free tier includes 600 email credits/month. Basic plan at $49/month unlocks 900 mobile credits and advanced filters. Yes: If your data comes from LinkedIn Sales Navigator, inbound leads, or another provider, choose a pure sending tool. Lemlist ($59/month) or Instantly ($30/month) will outperform Apollo on deliverability and sending features.

2

How many sending accounts can you set up?

One account: Any tool works, but your sending volume is capped at ~50-75 cold emails per day per account to maintain deliverability. 3-5 accounts: Instantly's account rotation distributes volume across accounts automatically β€” designed exactly for this. 10+ accounts: Instantly is the clear leader for managing many sending accounts with automated warmup and rotation at scale.

3

Is your sales process email-only or multi-channel?

Email-only: Instantly offers the best deliverability features at the lowest price ($30/month). Multi-channel (email + LinkedIn + calls): Lemlist includes LinkedIn visit and connection request steps in sequences. Apollo supports email and call steps. Outreach supports all channels but at enterprise pricing.

Red Flags to Watch For

Sending cold emails from your primary company domain

If your cold outbound damages the reputation of yourdomain.com, your transactional emails (password resets, invoices) also get flagged. Always use separate domains for cold outreach β€” e.g., tryyourdomain.com or getyourdomain.com β€” and warm them for 2-4 weeks before sending.

Buying Outreach or SalesLoft before you have a repeatable sales process

Enterprise sales engagement tools cost $100-150/user/month and are designed for teams with established playbooks. If you're still figuring out your messaging, ICP, and cadence, you'll waste money on features you can't leverage. Start with Apollo or Lemlist, nail your process, then upgrade if needed.
